How we handle your data

Midnight Interactive Studios is a trading name of App4Life Sweden AB (“we”), a company registered in Sweden under number 556883-5879, with its registered office at Järavallsgatan 52, 216 11 Limhamn, Sweden. We are the data controller for the personal data described here. Contact us at [email protected]. This policy covers our website and the “Be in the game” programme for PRO PADEL 27.

What we collect and why

Beta signup. Your email address, so we can send you the beta invite and occasional news about the game. Legal basis: your consent. You can unsubscribe at any time by replying to any email from us.

Be in the game applications. Your full name, email, country, optional home club, a link to your public Playtomic profile, and three photos of your head (front, left side, right side). We use these to review applications, to select up to 100 real players for the game, and, for selected players only, to build a 3D likeness and set an in-game rating from the level shown on your Playtomic profile. Legal basis: your consent, given by ticking the boxes on the form. Before you can apply we email you a one-time code to confirm the address is yours; we store only a hashed copy of the code for ten minutes.

Your account. Verifying your email creates an account (your email address and the dates you signed up and last signed in). It lets you see the status of your application, withdraw it and delete your data yourself at any time on the account page. To keep you signed in we set one strictly necessary cookie that holds a signed session identifier for 30 days. It is not used for tracking.

Technical data. Our hosting provider records standard server logs (IP address, browser type, time of request) to keep the site running and secure. Apart from the sign-in cookie described above, we do not use cookies, analytics or advertising trackers.

Playtomic

We have no partnership, agreement or data exchange with Playtomic. We only open the public profile link you give us, in a normal browser, to confirm you are an active player and to read your level. We do not store anything from Playtomic other than the link itself.

Photos

Photos are stripped of embedded metadata (such as location and device information) the moment they are uploaded.
They are stored in a private storage bucket that is not reachable from the internet without our credentials.
Only studio staff working on character creation can access them. We never publish your photos or share them with anyone outside the studio.
If you are selected, your photos are used as reference to build your in-game character. The character, not the photos, appears in the game.

Where your data is stored

Application details: Neon (Postgres), hosted in Frankfurt, Germany (AWS eu-central-1).
Photos: Cloudflare R2 object storage, in a private bucket.
Emails: sent through Resend. Your address and the content of the email pass through their systems.
Website hosting and server logs: our hosting provider.

These providers process data on our behalf under their standard data processing terms. We do not sell personal data and we do not share it with advertisers.

How long we keep it

Beta signup emails: until you unsubscribe, or 12 months after the game launches, whichever comes first.
Applications that are not selected: photos are deleted after the final selection round before launch, and no later than 24 months after you applied. Name and email are deleted at the same time.
Selected players: for as long as your character is part of the game, so we can maintain it, unless you withdraw consent.
If you withdraw: we delete your photos and details within 30 days of your request.

Your rights

Under the GDPR you can ask us to show you the data we hold about you, correct it, delete it, restrict how we use it, or hand it over to you. You can withdraw consent at any time; this does not affect anything done before you withdrew. Email [email protected] and we will act within 30 days. If you are unhappy with how we handle your data, you can complain to the Swedish Authority for Privacy Protection (IMY), imy.se, or your local data protection authority.

Age

The “Be in the game” programme is open to people aged 18 and over. Do not upload photos of anyone else, including children. If we learn that we hold photos of a minor or of someone who did not consent, we delete them.

Changes

If we change this policy in a way that matters, we update the date at the top and, for anything that affects applicants, we email you.
